Utah Valley University is seeking a dedicated and detail-oriented Archives Specialist to join our dynamic team at the Fulton Library.

Under the direction of the Archives Manager, the Archives Specialist will play a crucial role in making historical materials accessible through the accessioning, arrangement, and description of archival collections. This position also involves maintaining collection records and collaborating with team members to support the Oral History program, contribute to exhibit creation, and assist with research requests. Summary of Responsibilities

  • Process new and backlogged archival collections by organizing and preserving materials to meet established standards, while also integrating donated items into existing collections. This involves creating comprehensive finding aids according to Describing Archives: A Content Standard (DACS) guidelines and utilizing the "More Product, Less Process" (MPLP) approach for efficient accessibility and preservation. Additionally, audit, edit, and enrich existing finding aids to improve accessibility and accuracy, and contribute to the development and maintenance of archival process workflows to ensure consistent and efficient practices.
  • Accession new archival donations in both physical and digital formats by organizing and preserving all associated forms and supplementary information, creating detailed accession records, and permanently linking donor agreements and other relevant documents. Process and integrate collections according to established standards, using DACS guidelines for finding aids and the MPLP approach to balance accessibility and preservation for quicker processing and availability.
  • Assist in managing the Oral History program by facilitating interviews, transcription, recording, accession, and publication of interviews. Additionally, collaborate on exhibit creation by contributing to artifact curation, display layout design, and interpretive material development to enhance visitor engagement.
  • Assist in fulfilling research requests by locating pertinent documents, offering thorough responses, and ensuring the prompt and precise delivery of information to aid diverse academic and public inquiries.
  • Perform other job-related duties as assigned.

Qualifications / Licenses / Certifications

Graduation from an accredited institution with a bachelor's degree in a related field; OR a combination of education and experience specific to the knowledge, skills, and abilities totaling four years.

Knowledge / Skills / Abilities

  • Knowledge of archival processing and basic preservation procedures.
  • Knowledge of and proficiency with standard computer software applications such as Microsoft Office Suite.
  • Knowledge of 20th century United States History.
  • Knowledge of Encoded Archival Description to create online finding aids.
  • Skills with interpersonal communication and interacting with a diverse campus and community population.
  • Skills in researching and retrieval of information to assist library users.
  • Skills in learning and adapting to new computer software and programs.
  • Ability to type, write and spell accurately, and communicate well with the public.
  • Ability to express ideas and follow directions both verbally and in writing.
  • Ability to learn to use EAD editing software, XML, and HTML coding.
  • Ability to learn Library of Congress cataloging theories and procedures.
  • Ability to provide professional customer service to a diverse population.
  • Ability to work independently, with minimal direct supervision, and in a very quiet environment.
  • Ability to handle fragile and historic materials with care and caution.
  • Ability to bend, stretch, and lift 40 lbs.
