Job Description

Job Summary

We are seeking a reliable and professional Receptionist/Executive Assistant to join our team. As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming atmosphere for our clients and prospective clients. The ideal candidate will have excellent communication skills, strong organizational abilities, and a friendly demeanor.

Job Responsibilities

- Greet and welcome visitors in a warm and friendly manner

- Manage phone systems, including fielding calls, relaying messages, and setting up conference calls

- Maintain an organized reception area, ensuring it is clean and presentable at all times

- Perform clerical duties such as filing, data entry, and maintaining office supplies

- Provide excellent customer support by addressing client needs and concerns promptly

- Support office management by organizing schedules, meetings, and appointments

- Provide administrative assistance to team members as required

- Complete Lead Intake (screen) and set attorney consultations

- Complete client onboarding and offboarding

- Track data and create reports regarding leads, conversions, open and closed cases, etc.

- Conduct scheduled outreach and follow up with leads and clients, design and send newsletters, etc.

Requirements

- Proven experience as a Front Desk Receptionist or similar role

- Excellent phone etiquette and communication skills

- Strong organizational skills with the ability to multitask effectively

- Attention to detail for proofreading documents and correspondence

- Customer-oriented mindset with a friendly and professional demeanor

- Computer literacy with proficiency in MS Office Suite (Word, Excel, Outlook)

- Ability to handle confidential information with discretion

- Ability to work independently as well as part of a team

- Previous experience in clerical or personal assistant roles is a plus

- A positive attitude and willingness to learn are essential for success in this position
