Job Description

Job Summary:

As the Office Manager, you will be the cornerstone of our operations, ensuring the seamless execution of office processes and providing leadership to a dynamic team. This role requires exceptional people management skills, business and HR knowledge, and the ability to navigate challenging situations with confidence and critical thinking. The ideal candidate will be a self-starter with a positive attitude, capable of giving clear direction and feedback to employees while driving the practice’s success.

Key Responsibilities:

People Management:

  • Lead, mentor, and develop the team to achieve their full potential.
  • Foster a positive and supportive work culture that encourages teamwork, collaboration, and mutual respect.
  • Provide constructive feedback and identify opportunities for training and professional growth.
  • Confidently address challenging situations and provide clear direction to employees.
  • Manage staffing schedules to ensure adequate coverage and a smooth workflow.

Office Operations:

  • Oversee daily administrative tasks, including scheduling, patient check-ins/check-outs, and insurance verification.
  • Implement and maintain efficient office procedures to enhance productivity and accuracy.
  • Manage office budgets, order supplies, and ensure proper functioning of office equipment.
  • Collaborate with clinical staff to streamline communication and coordination.

Business and HR Management:

  • Utilize business acumen to manage operational efficiencies and contribute to the practice’s financial health.
  • Ensure compliance with HR policies and support recruitment, onboarding, and employee development initiatives.
  • Handle sensitive employee matters with professionalism, discretion and confidentiality.
  • Prepare and analyze reports on practice performance, identifying areas for improvement.

Patient Relations:

  • Act as the first point of contact for escalated patient concerns and inquiries, resolving issues with professionalism and care.
  • Ensure a welcoming atmosphere in the office, prioritizing patient comfort and satisfaction.
  • Monitor and improve patient feedback and satisfaction scores.

Compliance and Reporting:

  • Ensure compliance with WISHA, HIPAA, and other regulatory requirements.
  • Support the practice’s strategic goals by implementing initiatives to optimize efficiency and service quality.

Qualifications:

  • Proven experience in office management, preferably in a dental or healthcare setting.
  • Strong leadership skills with a passion for motivating and guiding teams.
  • Exceptional communication and interpersonal abilities.
  • Proficiency in office software, scheduling systems, and dental practice management software.
  • High level of organizational skills with attention to detail and problem-solving capabilities.
  • Energetic, self-motivated, and confident demeanor with a professional attitude.
  • Critical thinker who can handle challenging situations with persistence and poise.
