Starting Salary: $17.59-$18.40 (depending on experience)

About this Position

The Administrative Specialist II—Marketing & Public Relations position provides general clerical services for the Marketing & Public Relations Department. The admin specialist II will answer phones, coordinate meetings/agendas, complete data entry, and create reports, among other tasks. Candidates seeking to fill this admin specialist job must have strong communication skills and be able to utilize complex computer software applications.

Responsibilities

  • Serve as the department receptionist by answering phones, helping visitors, and maintaining files, reports, and data
  • Generate purchase orders, process business card orders, and reconcile and process credit card statements
  • Ensure payroll records are accurate and make corrections or create fillable forms
  • Assist with special events by taking payments, generating contracts for community special events, and coordinating recordkeeping with the Special Events Coordinator
  • Assist with administrative tasks including online bidding, ordering printed or promotional items, and editing the city website
  • Conduct budget entry and maintain records pertaining to budget/cost allocation activities and the five-year budget
  • Track yearly strategic plan goals and enter details via reporting software
  • Maintain purchase records, order department supplies, and check deliveries
  • Coordinate schedules, assist with travel arrangements, and register for events on behalf of department personnel

Qualifications

  • High school diploma or GED equivalent
  • 12-18 months of related experience and/or training (marketing, public relations, or another creative environment)
    • Or equivalent combination of education and experience
  • Experience utilizing Adobe Creative Suite and PowerPoint
  • Valid Oklahoma Driver's License and a driving record acceptable to the City's insurance carrier

  • Good mathematical ability
  • Strong written/verbal communication skills (especially relating to grammar, vocabulary, etc.)
  • Strong attention to detail
  • Ability to work in a fast-paced environment with multiple concurrent assignments and deadlines
  • Ability to establish and maintain effective work relationships
  • Ability to meet the required physical standards for this position
  • Ability to pass extensive background process and pre-employment drug and audio screenings
